Assistant to Executive Vice President

the incumbent is responsible for providing a broad variety of administrative and secretarial tasks to support the Business Group Head After Sales.



The purpose of the role is to ensure effective and smooth management of top executives’ day-to-day affairs which may include tasks related to the business head’s membership of different associations. The job can range widely in duties and responsibilities, from handling agenda, making travel arrangement, collecting, and preparing information for meetings, recording meeting minutes, chase responses, maintain records of contacts.

Your main Tasks and Responsibilities



  • Multitask efficiently with little or no supervision in a fast-paced environment and escalate with the appropriate level of priority

  • • Perform an extensive array of administrative tasks in a timely manner while maintaining careful attention to detail, maintaining business and private calendar, travel arrangements, expense management, preparing and minuting meetings

  • Act as a focal point of contact for other departments and external stakeholders, appropriately handling confidential information at the highest level

  • Plan, lead and manage projects and events of different magnitude

  • Collaborate with the global executive assistants’ team to ensure successful execution of regularly scheduled domestic and international meetings, events, and projects

  • Arrange complex and detailed travel plans, for both international and domestic, as well as itineraries and agendas

  • Anticipate the needs of a busy team and help them be more productive and successful

  • Proactively resolve time-sensitive issues, demonstrating excellent judgment and problem-solving skills

  • Assist with presentations and internal communications

  • Manage meeting agendas, notes and minutes, and follow-up items

  • Be a liaison and build positive working relationships with leadership and other cross functional stakeholders, including finance, communications, HR, and IT

  • Handle confidential information professionally

  • Supervises the team-assistant providing support to the Business Group Head’s executive team and taking care of travel arrangements and event coordination


Your Qualifications



  • Commercial education or bachelor’s degree in business administration

  • Previous direct executive support of min. 5 years in multinational company in the position as Administrative Assistant, Executive Assistant, Administrative Business Partner

  • Work experience and ability to navigate in an international and complex corporate environment

  • Experienced with calendar management, high-volume travel scheduling and booking, and budgeting of events

  • Experience leading small to medium sized projects and events and comfortable managing up or across teams

  • Ability to recognize where processes can be improved, and the initiative to improve them

  • Strong interpersonal skills and the ability to communicate with all levels and departments within the organization

  • Excellent verbal and written language skills in English and German

  • Proficient in communication- and office technologies including MS Office, Zoom, Microsoft Teams and IBM Lotus Notes
