This role has two components; a multifaceted support for the Finance Academy overall and the training programs, working closely with our global colleagues and administrative support for the two team leads. Planning the overall Finance Academy calendar to monitoring the budget, from inviting the participants to each program through supporting the online or live delivery of the workshops to creating the evaluation reports and sharing with the faculty.
Your responsibilities will include:
• Project coordination and overall event support for the Finance Academy learning programs (virtual and live), working closely with the colleagues in Hyderabad. As part of this, leveraging technology and always being on the lookout for ways to improve efficiency and customer satisfaction including spreading best practices across all programs.
• Maintaining accurate dashboards, statistics and training records.
• Keeping track of expenses vs. budget, as well as the accuracy of participant fee charges. Managing purchase orders, working with all involved to ensure payments.
• Managing the calendar and arranging meetings independently and proactively, planning ahead and avoiding conflicts.
• Organizing travel (flights/visa/hotel/transfer/agenda, etc.) and expenses reimbursement.
• General administrative support for the key Finance Academy communities (faculty, Champions, etc), such as maintaining/updating distribution lists and SharePoint sites, Teams channels and managing access rights.
Minimum requirements
What you’ll bring to the role:
• University degree or Equivalent
• Minimum 3 years’ experience as Administrative Expert, with proven capability in managing complex projects and working across borders.
• Strong analytical thinking with high proficient in MS Excel and pivot tables.
• Communicates proactively, reliably and in a structured, customer-oriented manner.
• Strong organizing & planning skills with proven track record to coordinate and supervise a number of different tasks simultaneously.
• Good knowledge in project management.
• Strong knowledge of job-relevant software (MS Office and more) Stays up-to-date. Is an experienced user of technical resources (e.g. Teams, beamer, teleconferencing equipment).
• Languages: English (oral and written) Knowledge of German is a plus
