Administrative Assistant (50%) (Zurich)

This role reports to the Office Manager and you will be joining the People team at an extremely exciting time, when we are shaping our people strategy, implementing a hybrid working model and adapting our processes to be ready to scale.


As an Administrative Assistant, you will provide support to C-level executives ensuring all calendar management, travel booking and expenses are handled efficiently.  You will support other internal stakeholders across the organisation with reports, documents and slides. The Admin Assistant will also support some office management activities and be the back-up for our Office Manager.


Your responsibilities



  • Provides Executives with general administrative assistance, such as preparing communications on the executive’s behalf

  • Manages the Executive’s calendar, including making appointments and prioritizing the most sensitive matters.

  • Manages all travel arrangements including flights, hotel, car rental and prepares detailed itinerary before every trip.

  • Takes full responsibility for processing Executives’ expense reports

  • Organizes internal and external meetings, including scheduling, sending reminders, and organizing catering when necessary

  • Assists internal stakeholders across the organisation with administrative tasks such as: 


    • compiling data and creating reports

    • preparing briefs, documents and slides

    • researching and compiling of information for projects


  • Assists with planning team offsites and organizes larger events

  • Welcoming visitors, making sure they are comfortable while waiting and escorting them to their meeting. 

  • Assisting with the collection of signatures for important and time-sensitive documents.

  • Assists with the mail distribution and collection of registered letters.

  • Covers for the Office Manager and other colleagues during absences


What we look for



  • A minimum of 2-3 years of relevant work experience in a similar administrative support role

  • Ability to prioritize and meet deadlines while handling multiple time-sensitive projects 

  • Confident problem-solving and decision-making skills

  • Outstanding organizational, interpersonal and communication skills

  • Self-starter who works well without supervision

  • Ability to handle confidential information with discretion, and deal with professionals inside and outside the company

  • Experience of leading small projects

  • Team player who enjoys working in an international environment.

  • Confidence to manage interactions and expectations at all levels of the organization

  • Native German and fluent business proficiency in English. Strong written and communication skills in both languages. 

  • Proficiency in MS Office and Google Workspace
