Contract Coordinator

Position


 The individual will manage and maintain contract requests and will support the administration and related secretarial matters related to contracts and other legal documents within the Legal and Contracts department.


Duties


Reporting to the Manager, Contracts and Compliance, the individual is responsible for the following:



  • Data entry of Public Tenders, Customer Sales Agreements, Distribution and other Agreements into Company’s contract management systems ensuring completeness and integrity of the contract data

  • Support and coordinate contract amendments, authorization and termination letters and other documents as necessary;

  • Provide support in review of minor non-standard terms & conditions of contract and escalate when needed;

  • Provide administrative support to the Legal & Contracts team and enhance office effectiveness; including support of various types of correspondence (letters, declarations, notices, etc.); conduct distribution via standard mail or email;

  • Communicate and act as a liaison between sales teams and internal department to develop compromises and resolve contractual problems or complaints;

  • Preparation of regularly scheduled reports, and ad hoc reports as needed; Provide support on all department related responsibilities and projects, as needed.


 


Desired Skills and Experience


Minimum requirements  



  • Commercial training (e.g. Swiss Association of Commercial Employees, Business School), Bachelor’s Degree in Business, or related field

  • Minimum of three (3) years’ work experience performing professional contract and legal administration work, preferably in medical device, healthcare industry

  • Demonstrate general knowledge of contracting principles, including proposal preparation

  • Strong understanding of business processes

  • Ability to set priorities, balance multiple initiatives simultaneously, driving initiatives through to completion while continuing to meet deadlines in a fast-paced work environment

  • Excellent IT and MS office skills (Word, Excel, PowerPoint)Contract Management System experience is desirable and preferably Sales Force

  • Proficient with data reporting and analysis.

  • Ability to adapt customer needs and ensure good service

  • Excellent communication and interpersonal skills and ability to work effectively and cooperatively with different functions within an organization

  • Proactive and creative problem solver.

  • Demonstrated professional and culturally sensitive work ethic

  • Highly motivated and energized 

  • Fluency in English essential. Knowledge of at least one other European language preferred (German, Italian, French)
