Job Description

As our Reception Team Lead you will assist the Facilities Operations Site Lead in ensuring all aspects of operational services are delivered to best practice standards and in accordance with the business requirements and day-to-day activities in both buildings (Portikon and Lindbergh).


You will be responsible for managing the reception team: including the organisation of working schedules, trainings and will coordinate all activities with the Security team as needed.


You will also be responsible to ensure that all front desk activities are completed accurately and delivered with a professional and courteous service of high quality and in a timely manner.


The Reception Team Lead role reports to the Facilities Operations Site Lead

Key Accountabilities:


You will be empowered to:



  • Coordination and management of a reception team (2 locations) (3 receptionists)

  • First point of contact for the Reception Team for any questions or clarifications

  • Management of the reception working schedule - dealing with sickness, absence of team members and last-minute changes of the work schedule. The Reception Team Lead is included in the reception working schedule and must fulfill reception daily work activities

  • Ensure highest levels of customer service at the Reception desks and that the appearance of the Reception team is always professional and remarkable

  • Regular weekly 1-1 meetings with the Facilities Operations Site Lead

  • Ensure coordination and regular communication with the Security team to maintain building security by following strict procedures and controlling access

  • Communication and coordination with Takeda FM Management and the external FM Management Service provider (Apleona)

  • Training of team members

  • Participate in the recruitment of new team members as needed together with the Facilities Operations Site Lead

  • Management and oversight of the conference room bookings and services like IT support, caterings, and stakeholder service requests

  • Parking management

  • Management of office supplies

  • Maintain Health and Safety standards / support in emergency situations

  • Being the first point of contact for external Reception service providers, external suppliers and different stakeholders like caterers, taxi providers, courier services providers etc.

  • Maintaining files and archive


Key Skills, Competencies and Education:



  • Exceptional customer service skills and a proven working experience in similar roles in equally international organizations

  • High degree of service mentality, willingness to go the extra mile

  • Ability to be resourceful and proactive in dealing with issues that may arise

  • Ability to organize, multitask, prioritize different tasks

  • Calm under pressure and able to remain professional always

  • Diligent, reliable and highly organized work style

  • Ability to work both within a dedicated team as well as independently and out-of-hours where required

  • Fluency in German and English (oral and written) – Mandatory

  • Excellent communication skills

  • Good working knowledge of MS office systems and experience with other IT software / infrastructure


Further Information:


This role requires adhering to a dress code.


The reception team operates on a shift pattern with morning shifts starting at 07.30am and evening shifts finishing at 18:00pm.


Flexibility in the scheduling of hours worked, such as alternative working schedules during holiday periods and occasionally working more than 24 hours per week if required by the business.
