Mission
Provide high level assistance to the NOC commercial management function


 


Main responsibilities



Administrative Support



  • Manage and coordinate the NOC meetings planning with relevant attendees (NOCs, IOC and external stakeholders) 

  • Organise NOC meetings on-site and in off-site locations, including meeting agendas, documentation, room reservations, etc.).

  • Track, consolidate and report the status of negotiations for each NOC, including minutes taking and meeting reports.

  • Ensure that all documentation is up to date and accessible to the relevant IOC functions.


 


Legal Support and Reporting - in coordination with Paralegal:



  • Customise and modify templates according to business terms and conditions and negotiation process 

  • Prepare reports for the corresponding functions, i.e. NOC Relations, Hospitality & Ticketing, Finances. 

  • Proof reading and formatting.


 


Contract Management - in coordination with Paralegal:



  • Ensure proper contract management and that the corresponding reports are issued and communicated to the relevant IOC functions.

  • Issue and coordinate mailings and correspondence to the NOCs of draft agreements, execution copies and executed copies as well as corresponding documents as required.

  • Coordinate the signature process (NOC and internal) including tracking of agreements.

  • Register agreements according to the document retention policy of the IOC.


 


Training, language and IT competences 



  • Bachelor’s in marketing/Business administration or in any related field

  • 3/5-years’ experience of providing high level support within an international organisation or multinational company 

  • English mother tongue or bilingual English / French 

  • Excellent drafting skills in English 

  • Excellent Command of Word, Excel and PowerPoint.  

  • Strong sense of service and results orientation.

  • Autonomy and sense of priorities, with flexibility and high level of adaptability in a constantly evolving situation.

  • Strong organisational skills with capacity of shifting priorities, demands and timelines.

  • Responsive, efficient and highly motivated to perform tasks with speed, accuracy and attention to detail.

  • Strong team spirit and ability to interact constructively with people at all levels and from diverse cultures.
