We are the Pharma Research and Early Development (pRED) Operations department who design, develop and deliver innovative integrated informatics solutions, professional and scientific support services and end to end laboratory and infrastructure based capabilities across pRED and Roche.
This position is based at our Basel / Kaiseraugst offices, in Switzerland.
Working in a dynamic environment, we are looking for a service-oriented, resourceful and professional individual to support our Basel based administration team.
You are an enrolled student in a Bachelor or Master program with a focus business administration field with a very strong aptitude for IT systems.
Your key responsibilities will be:
Handling general administrative tasks (correspondence, Google hangouts, travel arrangements and their reimbursement, etc.)
In support of members of the administrative team
Taking care of the on-boarding for new employees to the function. This includes working together with various departments (for example IT, HR, etc.)
Creating and maintaining mail distribution lists
Maintaining the Organization Chart and the corresponding employee entries in various tools
Coordinating internal and external meetings. These include team meetings, telephone conferences and video conferences as well as various other supporting tools (Zoom, PollEv, Mentimeter)
Organizing interviews for open positions with candidates, including coordination with line management
Maintain and manage purchase orders for office supplies and employee gifts
Supervising vendor invoices and / or reimbursements
On request, planning and managing virtual and onsite events such as workshops, trainings, offsites, etc. (venue, infrastructure, documentation, catering, visitor batches, providing advice and support to internal and external vendors and participants)
Acting as a neighbourhood Single Point of Contact-Support (SPOC-Support)

Good proficiency with Microsoft Word, Excel, PowerPoint and other applications as well as an aptitude to learn Roche-specific operational systems
Good time management & organizational skills with proven abilities to work independently
Strong customer orientation and team player attitude

Impeccable interpersonal skills with effective manner
Strong communication skills and proficiency in English (oral and written)
