Mission



  • Provide administrative support for the all OFCH units related to transport & logistics, travel & expenses, procurement & contract as well as provide expertise with specific tools and other consolidated tasks


 
Main responsibilities



  • Support administrative activities for the transport and logistics, ensure follow up and propose corrective actions to ensure the best services

  • Manage travel and expenses for the OFCH units and ensure policies are followed

  • Manage procurement and contract life cycle tasks by using corporate tools like Core, Ariba, P2P, ECM

  • Provide expertise by using specific tools like Visio for processes or like PowerPoint for presentation

  • Support the OFCH management with other specific consolidated tasks, as correspondence drafted, meeting preparation, room booking, meeting report, visitors organisation, KPls.


 
Training, language and IT competences 



  • Five years’ experience in an administrative assistant position within an international environment

  • Commercial CFC or Federal Diploma of Vocational Education and Training

  • Autonomy and sense of priorities, with flexibility and ability to deal with the unexpected.

  • Strong organisational skills with capacity to consistently meet deadlines.

  • Highly proactive, responsive, efficient and highly motivated to perform tasks with speed, accuracy and attention to detail.

  • Strong team spirit and ability to interact constructively with people at all levels and from diverse cultures

  • Excellent writing skills

  • Excellent communicator and proven interpersonal skills.

  • Comfortable working in a team-focused environment, including information sharing and best practices

  • Excellent command of the corporate tools and compliance with related internal user rules (SharePoint, Outlook, Concur, SAP etc.)

  • Fluency in English or French, with excellent command of the other language.
