This role provides direct administrative support to the President of EMEIA Varian Oncology Systems.


The Senior EA plays a critical role representing the office of the President of EMEIA Varian Oncology Systems, making the organization run smoothly, through direct support, helping to maximize productivity and making decisions more easily. The role requires strong problem-solving skills and independent self-direction, with an aptitude for collaboration, open communication and organisation caring mindset.


Major responsibilities:   



  • Manage diary of the President, Varian Oncology Systems EMEIA.

  • Collect and prepare information for use in discussions/meetings of executive staff and external individuals.

  • Prepare presentation materials for regular senior staff meetings.

  • Facilitate staff meetings and take meeting minutes.

  • Support President’s communication, in coordination with global Communications Team.

  • Handle details of a highly confidential and critical nature.

  • Work on problems of diverse scope, where analysis of data requires evaluation of identifiable factors.

  • Support all phases of strategic cross-functional business programs and initiatives.

  • Coordinate Forecast Reporting.

  • Manage all travel arrangements.

  • Direct team management of 2 direct team members.


Qualifications and Experience



  • Commercial or Business administration education or equivalent related experience.

  • Experience and excellent knowledge of MS Office applications (Microsoft Teams, PowerPoint, Excel, Word).

  • Fluency in English language essential. Fluency in German preferred; other European languages desired.

  • Strong interpersonal communication and interpersonal skills.

  • Structured work behavior including project management and organizational skills.

  • Committed and independent working methods.

  • Self-motivated and likes to create new or optimize existing processes.

  • Must have experience working with, presenting to, and receiving direction from senior management in a cross-functional organization

  • Collaborative arena (HR, Finance, Legal, Ethical Compliance).

  • Open and adaptable to change and prioritization.
