In this role you will provide comprehensive Executive Assistant support to the Head of Corporate Life & Pensions (CLP) at our Corporate Centre. You will enjoy working at a fast pace, with a variety of tasks. The successful candidate will be energized by a requirement to work independently and proactively, a desire to pre-empt issues and to help maximise the time and resources of the manager.

 Your Role  

As an Executive Assistant your main responsibilities will involve:

 

  • Proactively manage the diaries of the senior leaders, schedule and co-ordinate appointments, meetings and other activities in accordance with business needs and priorities; follows up if required

  • Travel coordination (including flights, hotels, transfers etc.) in line with company guidelines; coordination of necessary briefings and documents needed when travelling

  • Process expenses and invoices within deadlines

  • Preparing documents, presentations and other materials with standard tools (i.e. PowerPoint presentations, Excel files and graphics), to present the content clearly and accurately for regular and ad-hoc meetings / events

  • Organise internal meetings, events, including coordinating operational aspects of (e.g. venue, managing agendas, taking notes and following up actions, designing and developing appropriate material/slide (talking points, briefing, etc.)

  • Be the central point of contact and work collaboratively across the CLP units and other internal stakeholders to support the flow of information and maintaining current and easily accessible files and department data

  • Under direction of the executive team, reviewing key information (e.g. email, written reports, presentations) to determine relative prioritization. Providing summaries and analysis for consideration

  • Prepare internal communications (e.g. newsletter, announcements, etc)

  • Work location is Zürich

  Your Skills and Experience

 As an Executive Assistant your skills and qualifications will ideally include:

 

  • At least 5 years of experience working in an international company

  • Bachelor‘s degree (or close equivalent)

  • Ability to understand, interpret and translate requirements into deliverables

  • Good organizational skills and advanced Microsoft Office (Word, PowerPoint; Excel, etc), email knowledge is required

  • Excellent influencing and negotiation skills and ability to deliver under pressure and drive change

  • Ability to build and maintain effective internal and external relationships

  • Committed team player with enthusiasm and drive

  • Ability to understand and manage multi-cultural sensitivities

  • Good problem solving and analyzing skills with the ability to generate realistic and achievable solutions

  • Takes accountability when responsibility unclear to ensure delivery

  • Highly trustworthy and dependable person who communicates well and is used to interacting with senior executives and industry contacts

  • Excellent communication, networking and organizational skills

  • Excellent written and spoken English and German
