The Movement Meetings Associate reports to the Head of Project for Movement Meetings.  

What we do

 


The Division for Cooperation and Coordination within the Movement is responsible for developing and implementing ICRC policy and action in the field of cooperation and coordination within the International Red Cross and Red Crescent Movement. The Divison serves as a centre of expertise for the ICRC's operational and capacity building work with National Societies and the International Federation of Red Cross and Red Crescent Societies (IFRC). 
 


The Division is responsible for coordinating the ICRC's preparation, faciliation, participation and follow-up of the Movement's Statutory Meetings. The Statutory Meetings function in two-year and four-year cycles, so this Traineeship will focus on preparations for the 2021 Council of Delegates, as well as follow-up from the 2019 Statutory Meetings (33rd International Conference and Council of Delegates). The 2021 Council of Delegates will gather the components of the Movement (ICRC, the 191 National Societies and the IFRC) and is a crucial event which shapes the direction of humanitarian action for the Movement. 

Purpose

 


Under the supervision of the Head of Project for Movement Meetings, the Associate will support the preparations for the 2021 Council of Delegates and follow-up from the 33rd International Conference and 2019 Council of Delegates.  The Associate will be required to liaise with diverse stakeholders within the ICRC and the Movement, and will contribue to practical, substantive and administrative activities related to the meetings. 

Main responsibilities

 



  • Support the reporting on implementation of commitments made at the 33rd International Conference and 2019 Council of Delegates (resolutions and pledges), including the mid-year review process. 

  • Lead the document management process for the 2021 Council of Delegates, including coordination with file holders and relevant services (e.g. translation, editing, etc.).

  • Maintain a record of official documents in the ICRC Teamspace and shared platform with IFRC, and ensure the ICRC TeamSpace is kept regularly up to date. 

  • Serve as focal point for the publication of the official records of the meetings.

  • Provide content for the Statutory Meetings website and internal communication platforms (e.g. intranet and Wiki pages, prepare the internal newsletter, etc.). 

  • Serve as focal point for pledges made at the 33rd International Conference, including joint management of the pledge databse with the IFRC.

  • Support the organization of preparatory and coordination meetings, specifically for the Joint Organizing Committee and internal ICRC steering committee. Support other meetings as necessary (e.g. Standing Commission meetings, consultations with National Societies etc.). 

  • Prepare and dispatch communications and mailings with key stakeholders regarding the Statutory Meetings (e.g. through the use of Mailchimp or similar tools). 

  • Support the Head of Project for Movement Meetings in carrying out her tasks, including the production of briefing notes, talking points, presentations and promotional materials, concept notes etc. for a range of target audiences (internal and external). 

  • Monitor the shared Statutory Meetings mailbox and ensure communication reaches the relevant interlocutors. 

  • Carry out research, analytical and other tasks related to the Meetings, as required. 

Desired profile and skills

 


Required: 
 



  • A university degree in a relevant field, ideally at the Master's level, or with equivalent years of work experience.

  • Previous experience working on high-level multilateral meetings and events.

  • Fluency in written and spoken English. Additional languages, particularly French, Spanish or Arabic is an advantage. 

  • Demonstrable interest in humanitarian action, the ICRC and other components of the Movement. 

  • Strong written, communication and analytical skills.

  • Flexibility and capacity to work in a high-pressure and demanding environment. 

  • Ability to deliver work on time, and with tight deadlines. 

  • Strong iniative and ability to work well independently and as part of a team. 

  • Excellent attention to detail and organizational skills. 

  • Ability to exercise discretion, and awareness of political sensitivities. 

  • Excellent IT skills and knowledge of Microsoft Office, database management, communication tools such as Mailchimp, etc.

  • Understanding of the mission and mandate of the ICRC and of other components of the International Red Cross and Red Crescent Movement. 



Assets: 
 



  • Experience working with a component of the Movement, whether ICRC, IFRC or a National Society is an advantage. 

  • Experience with an international organization or government agency is an advantage.

  • Understanding of database/website architecture and management, and communication / design tools and platforms is an advantage.
