Role & Responsibilities
Play a key role in providing strategic and operational support to managers and employees during the Employee Life Cycle from joining to leaving Medair. Responsibility includes, but is not limited to, advising on application of HR policies and practices, contributing to staff induction, employee relations, performance and talent management, training and development, compensation and benefits as well as retention. The HR Partner works closely with the Recruitment and HR Marketing & Communication teams to meet staffing needs in Medair and supports the HR Partners in other areas of expertise in the design and implementation of strategies, standards, tools and processes across Medair.

Project Overview
Medair’s global HR function supports the organisation in the implementation of world class humanitarian aid projects by ensuring that the organisation has adequate systems and structures to efficiently recruit and retain the right people. The HR function is also working on impacting Medair’s culture by creating and sustaining a work environment where our values are fully alive and staff is being cared of through a “people to people” model.

Key Activity Areas


Strategic Partnering



  • Be a strategic partner for the Country or Department Directors and line-managers in HRM within the delegated portfolio of country programmes. , pProvide advice and coaching when needed. Promote Medair’s culture and values.

  • Have regular meetings with relevant managers and management teams. Visit each country program once a year. Provide quality and timely customer service to staff and management.

  • Support the Directors, line managers and Country Programme HR representatives in managing staffing needs, staff wellbeing, job performance and job satisfaction.

  • Ensure HR policies and compensation and benefit practices are applied.

  • Ensure information concerning staff and work relationships is managed in a confidential manner and shared on a need to know basis and advocate confidentiality of information among staff.


HR Administration



  • Ensure all GSO and Internationally Recruited Staff (IRS) have a current employment contract and related documents in line with relevant labour regulations.

  • Ensure all pre-deployment requirements are met, incl. a CMT file, before employment.

  • For IRS, ensure a health clearance and visa are obtained prior to confirming flights.

  • Ensure new staff receive induction, briefings, handover and training at GSO and in country.

  • On-boarding in an emergency response to support the Global Emergency Response Team. Employment life cycle administration. Monitor quality, timeline, and output of performance management.

  • Oversee the maintenance of work-related records as staff plans, attendance records, holidays, sickness, other absences. Ensure exit interviews are carried out by line management and records are available before staff leave Medair.

  • Organise a HR debriefing for staff at the end of contract or upon resignation. Enter contractual and benefit details into contract database. Provide timely and accurate input on payroll to the payroll specialist. Ensure records that inform insurance, pensions, other benefits, taxes, etc.


Performance Management



  • Ensure knowledge of performance and resources are exchanged and decisions are made in line with Medair’s strategy. Monitor leave management and absenteeism.

  • Advice line managers in setting SMART objectives and conducting performance reviews.

  • Ensure records are complete and managed in line with GDPR regulations and Medair’s policies.


Staff Well-being, L&D and Talent Development



  • Work closely with the Well Being, Learning & Development, Talent Development and Recruitment Specialists as well as line managers to support, facilitate and monitor specific strategies in these key areas of the employee lifecycle.


Employee Relations



  • Support line manager in maintaining a safe work environment and in disciplinary procedures.

  • Ensure procedures are followed and records are kept in accordance with Medair guidelines.

  • Support investigations into staff misconduct through reporting, participation in investigations.


Innovation/changes



  • Continually improve on key processes, policies, procedures and information systems, through problem solving and new initiatives, in collaboration with the HRM and stakeholders.

  • Lead and collaborate on assigned HR projects, track progress and deliver outputs on schedule.

  • Reflect the values of Medair with staff, beneficiaries, and external contacts.

Qualifications



  • Bachelor degree in HR, or equivalent education. HR certification.

  • Swiss HR Administration certification for HR partner of GSO.

  • Strong working knowledge of English (spoken and written). French desirable.


Experience / Competencies



  • 3-5 years in a human resource. Knowledge of social benefits, payroll and labour laws., particularly for HR of GSO knowledge of Swiss laws and regulations.

  • Excellent oral and written communication skills. Good customer service skills.

  • Strong planning and problem-solving skills. Ability to coach, train and provide pastoral care.

  • Ability to work within a multicultural team. Sensitive to cultural differences in behavior.
