Operations Coordinator & Scheduler Labeling



Job Summary:


Single Point of contact for all queries regarding ship dates, timelines, availability of material, rush requests and other delivery topics. Maintains master schedule with accurate and update information, including target dates and material availability. Coordinates with internal stakeholders and FCS Sites delivery dates based on packaging dates and material availability.


Responsibilities:



  • Single Point of contact for all queries regarding ship dates, timelines, availability of material, rush requests and other delivery topics

  • Coordinates and communicates with internal stakeholders and FCS Sites delivery dates based on packaging dates and material availability.

  • Schedules all jobs and equipment for Allschwil in the printshop with the goal of exceeding customer expectations (OTD) but keeping in mind internal capabilities

  • Advise the supervisors (IPI and Production Coding) of current workload and agrees on resource planning

  • Reviews and revises the master schedule daily and makes changes as business needs dictate.

  • Processes and responds to rush requests

  • Pro-actively checks the availability of materials, components and resources

  • Builds and maintains rapport and cooperative relationships with internal departments and sister sites

  • Anticipates the future workload based on packaging schedule, incoming job request and other tools

  • Advises Label PMs and/or manager of any unexpected material shortfalls

  • Develop and propose alternative scenarios to remove constraints and enable a more effective job execution

  • Attend Tier board meetings of the department daily.

  • Notifies managers of any potential changes with regards to the schedule that requires immediate action and/or potential problems.

  • Checks daily status of completed and shipped jobs in GPM

  • Defines Production Runs sequence as needed to maximize productivity and internal operations efficiency

  • Creates and reports relevant KPIs to the Operation Manager

  • Includes PPI into the daily work

  • Applies Good Manufacturing Principles in all areas


Minimum Qualifications:



  • Requires understanding and competent use of SOPs required by company Quality standards.

  • Proficiency in the use of Microsoft Excel.

  • Requires excellent organizational, planning, verbal, written and numerical skills with the ability to analyze and define solutions and manage multiple tasks to meet strict deadlines.

  • Strong interpersonal skills including the ability to actively listen, check for understanding and maintain a professional manner when problems/conflicts arise

  • Requires ability to develop strong customer management skills; proactively anticipates, understands, and responds to the needs of clients to meet or exceed their expectations.

  • Demonstrated excellent ability to communicate effectively with all levels of personnel.

  • Requires ability to learn and master all internal systems associated with projects (i.e. Salesforce, GPMS, Trackwise).


Education / Experience:



  • Requires professional degree, preferably in a health related field or customer service.

  • Requires 3+ years of experience scheduling within a manufacturing environment

  • Fluency written and spoken in German and English

  • Requires proficiency in personal computer applications (e.g. Microsoft Word, Excel, PowerPoint, Access, Outlook).

  • Requires excellent communication, organizational skills
