Your Role


The aim of the Administrative & Finance department is to ensure Mantu’s growth in compliance with all regulations, as well as sustainable and optimized business conditions.


The department is to support Mantu’s decisions with key information and accurate data, business drivers and analyses that are instrumental to optimal business management and efficient planning for the future.


The Office Management Department consist in managing local office logistics & operational life. Main objectives are to bring more services & support and to guarantee local office compliance with the group's processes. Handle calls Cost control Furnitures etc.

Handle calls Cost control Furnitures etc. As an Assistant Office Manager, you will play a key role within the local office life working among the Office Management of Mantu.


 


Your Role


As you Office Manager Assistant you will be in charge of:


Fleet Management:



  • Managing Mobile / IT / Car fleets and updating fleets data on our system

  • Managing the stock (avoiding out of stock and overstock) supplies, goodies and Car & Mobile fleet (parking, fines, repairs…)

  • Managing Asset request from our internal ticketing system : BCS (business Corporate Services).


Office Management:



  • Improving office environment

  • Collecting and dispatching Postage (charge for mailing an item like stamps)

  • Managing Accesses (parking and badges)

  • Monitoring the tiding and cleaning (supplier management / daily routine)

  • Taking initiatives to reinforce appropriate behaviours and enforce rules in the office (with HR support)

  • Tracking office occupancy

  • Align with Procurement department to have the right level of services in the office(s) you manage


Relationship with stakeholders:



  • Controlling daily requests on our ticketing system

  • Supporting IT, HSE & Procurement team locally

  • Participate in offices management comittees

  • Follow up local project / be the link with the Corporate services.

  • Welcoming and registering visitors
    Event Organizer

  • Organizing locally after works, breakfasts and meetings as per the needs of the local

  • Director / hub managers


Communication:



  • Sharing relevant information within the team (project progress, articles …)


 


Ideal Profile



  • Enrolled into a Master Program in Business Management,

  • Available for 6 month internship Gap year or End of studies

  • Good attention to details

  • Ability to work independently

  • Able to interact proactively with management and staff

  • Hard-working and high responsibility

  • Good command of English, both verbal & written communication

  • Fluency in English & English / Knowledge of French is nice to have.
