Site Management & Executive Assistant Marketing (m/w) 100% 

 

Jobbeschreibung


Your Mission: 


As an executive assistant, you should provide an efficient and responsive administrative, organizational and logistical service and support to the Head of Marketing & Communications who is in charge of Biel/Bienne site management. You are expected to be proactive and to bring solutions in the frame of the new building operation. 


Site Management: organization of site committee and steering committee meetings, commercial and contractual oversight, documentation, support of cost controlling, interface to all teams attached to site management and corporate functions.   


Organization, Coordination & Preparation of meetings and events: Logistics & documents/presentations. 


Administrative and logistical support: phone calls, minutes of meetings, travel booking (visa applications when needed), and follow up of invoices. 


Main tasks and responsibilities: 



  • Follow up of the Manager’s agenda & meetings organization: 

  • Support in all matters of Site Management

  • Organize, schedule and update diary, with all the commitments, appointments and important meetings/events, on a constant basis

  • Create presentations or support in the preparation. Conduct research, collect and analyse data to prepare reports and documents needed for presentations

  • Prepare meetings ensuring focused agendas and complete preparatory documentation in a timely manner. Take notes and prepare the minutes for some meetings

  • Plan and set up 1/1 meetings with all needed N-1 and/or other heads of departments as well as the logistics for these

  • Answer the phone and take messages, open/sort/answer post

  • Travel arrangements, visas, hotel booking and develop itineraries.

  • Cost Center control and validation of invoicing: check and inform manager of eventual budget overrun of different Cost Centers of the department.

  • Work in close collaboration with colleagues and other assistants of the Group and Biel site, act as the interface between the office and the manager. 

 

Kandidaten Profil


Education & Training:


Business/office management background, understanding of production would be a plus. Experience in project management required.


Experience


Demonstrable experience in an executive assistant role with a highly pressurized environment


Experience of successful working with senior management 


Languages


English (fluent) and at least another language : French and German 


IT Skills


Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook 


Personal skills


Ability to work under pressure, independently with little supervision and be flexible as part of a team


Attention to detail and deadlines


Proactive with self-initiative


Analytical thinking and ability to organize 


Other


Ability to exercise discretion in dealing with confidential or sensitive matters


Self-motivated with a positive and professional approach
