For our client Arktis Radiation Detectors a young and fast-growing company in Zurich we are looking for an experienced Office Manager. The company develops and manufactures next generation systems that detect and identify radioactive and nuclear materials to enhance security and operations. Using Arktis proprietary advanced radiation detection technologies we create solutions that deliver step change improvements in capabilities for a wide variety of applications used by customers and governments across the world.

YOUR ROLE



This is a great opportunity to join a young and fast-growing company in Zurich, and work on one of the important security challenges globally. Over the past years Arktis has developed next generation systems that detect and identify radioactive and nuclear materials.



We are looking for a skilled Sales Administration, Logistics and Office Manager. You will be an integral part in ensuring that our management information is accurate and up-to-date, that documentation issued by the company, including tenders, is professional and well presented, and that our clients are cared for whether when shipping data or equipment to them, or when they visit our offices.



The position will be based at Arktis offices in Zurich. Very occasionally, travel in Europe or to the US may be requested.



YOUR RESPONSIBILITES

  • Maintenance of our CRM system and monthly sales reporting

  • Basic tender preparation and support to bid managers for more complex bids

  • Production of high-quality communication and marketing collateral and management of conferences

  • Order processing, shipping and export

  • Sales administration and invoicing

  • Administrative tasks related to our supply chain and procurement

  • Office management, including office infrastructure (office supplies, printers, internet, telecommunication, meeting room prep, kitchen, negotiations with landlord and cleaners)

  • Customer contact including mail and telephone response when sales staff is absent

  • Visitor care, internal and external communication

  • Personnel administration and HR support, including recruitment

  • Assistance to and secretarial work for the management and the board of directors

EXPERTISE & QUALIFICATIONS

  • Excellent written and verbal communication skills in English and German

  • Skilled at preparing concise and appealing documentation

  • Commercial education or higher

  • Contributes to a positive team spirit

  • Knowledge of office administration responsibilities, systems and procedures and proficiency in using suitable software tools such as MS office

  • Excellent time management skills and hands-on mentality

  • Self-starter with ability to multi-task and prioritize work

  • Attention to detail and problem-solving skills

  • A creative mind with an ability to implement improvements

  • Extremely high trustworthiness and high loyalty

  • Experience in shipping and export documentation or at the very least willingness to undergo training in this field

  • Experience of working with sales teams would be an asset, as would experience of working with CRM tools or similar management information systems
