Account Manager (Part Time 60-80%)

Drugs for neglected diseases initiative (DNDi) is a collaborative, patients’ needs-driven, non-profit drug research and development (R&D) organization that is developing new treatments for neglected diseases (www.dndi.org)


The Operations Department was created in 2011 to help the Executive Director focus on strategic activities. It coordinates DNDi infrastructure globally (finance, operational and strategic planning, human resources, information systems and technology, legal structuring, risk management, and organisational development) and supports decision-making and flows of information across the organization. It also provides oversight to business development and legal activities and liaison offices.


 


Purpose of the position


S/he coordinates and controls accounts at Headquarter, supervises bookkeeping, checks and validates invoices and expense claims, monthly reconciliations of petty cash, banks and credit cards in Navision. S/he ensures expenses are compliant with policies. S/he deals with monthly allocation of shared expenses, periodic review and reconciliation of Balance Sheet accounts. S/he contributes to the closing of the annual accounts and the annual statutory audit and various donor audits. S/he contribute to the soft mid-year closing of the accounts and participates in building the annual finance action plan and ensures timely implementation.


 


Specific job responsibilities


Specific accounting tasks 



  • Control and validate in the ERP System (Navision) bank accounts and cashboxes (CHF, EUR, USD, GBP) reconciliations as well as credit cards entries

  • Supervise management of petty cash (including weekly inventories) and management of the safe (need forecasts and withdrawals at the bank)

  • Control and validate in the ERP System invoices and expenses notes and ensure the linkage to the respective purchase orders is correctly made (new process)

  • Back-up responsible for managing invoices and payments

  • Process the allocation of the “shared” expenses

  • Ensure efficiency and accuracy of the accounting activities; control, follow-up, investigation with suppliers, consistency of payments versus invoices, control of invoices, respect contractual specificities and deadlines

  • Periodic review and reconciliation of balance sheet accounts


Annual filings with authorities



  • Submit tax declaration to fiscal cantonal authorities

  • Submit withholding tax claim-back report to fiscal federal authorities

  • Provide support related to the preparation of the annual report to the Swiss authorities (individual and consolidated accounts in EUR and CHF)


Mid-year and year-end closing of the annual accounts


Support the Senior Accounting Manager in the mid-year soft closing and year-end hard closing of accounts:



  • Ensure annual closing of suppliers (reconciling and closing suppliers accounts) – respect cut-off

  • Accruals: ensure accruals are correctly accounted for. Follow-up to make sure accruals are settled within the following year

  • Reconcile current accounts (bank, cash, advances, liquidities on stand-by, exchange on stand-by, combi-inter DNDi accounts)

  • Reconcile prepaid – account for expenses in the appropriate year

  • Reconcile receivables

  • Prepare letters to all banks (including regional offices banks) to request the confirmation of relationship

  • Collect information regarding the stocks of drugs and account for it

  • Make sure all inventories are up-to-date


Office management



  • Responsible of finance archives. Ensure they are properly recorded and retrievable

  • Prepare new folders


Internal control



  • Ensure the signature policy is updated monthly in SharePoint (new process)

  • S/he reports to the Senior Accounting Manager

Technical skills



  • Good knowledge and strong experience with Swiss GAAP

  • Very good knowledge of excel

  • Experience with an ERP required (Navision desirable)


Experience



  • Minimum 6 years’ relevant experience in Senior Account position


Education



  • CA/CPA/Advanced post graduate degree or graduate degree with equivalent in experience to reach master level in financial accounting or equivalent


Other requirements



  • Fluency in English

  • Proficiency in French desirable

  • Very good knowledge of Microsoft Suite
