Job Description Summary


To support Lonza’s corporate Intellectual Property Department, in Basel, we are looking for an experienced, Intellectual Property Operations Manager.


Role Purpose:


The incumbent will support the Global Head of IP in managing the operations and administration of the global IP Department, including but not limited to, leading the IP paralegal function and team, handling and preparing of legal documents for filing and maintaining of patents, designs or trademarks with governmental agencies in several jurisdictions (either directly or indirectly), preparation of controlling reports on external and operating costs and preparations and/or implementation of policies and procedures established by the Global Head of IP.


Key Accountabilities and Duties:



  • Manages the operations of the IP Department and the paralegal/administration team of the corporate IP Department:

  • Supervises the general administrative, organizational and secretarial support for Global Head of IP and IP Counsels at all levels

  • Leads and supervises the execution of administrative tasks of the IP group such as: preparing documents for first and subsequent patent filings with governmental agencies in several jurisdictions throughout the world, including the European Patent Office, U.S. Patent Office, transmission of instructions from IP attorneys to patent offices, agents and subcontractors.

  • Leads the proper function and maintenance of the IP database; prepares or supervises data analytics (super user authority)

  • Leads the integration of newly acquired IP portfolio (M&A) into the IP database

  • Maintains the IP web page, Intranet site, Mobile Apps and sharepoints, including electronic library, resource links, etc.

  • Supports the Department's goals and objectives and strategic plan, and assists with special projects

  • Creates and leads the implementation of best practices, procedures, processes, workflows and policies pertaining to the IP function.

  • Manages the IP budget and cost control. Prepares and analyzes the annual IP budget and provides the monthly cost reports upon request of Global Head of IP or Senior IP Counsel Business Partner, and acts as liaison to Corporate Finance and Business financial officers/controllers.

  • Bachelor of law, Jurisprudence or Certified IP Paralegal (or equivalent) - Field of Study Law, Legal Procedures, Paralegal training

  • At least 10 years’ of experience within IP Administration and operations area

  • The position requires strong interpersonal skills; leadership techniques; technical evaluation, presentation, computer and writing skills; negotiating skills.

  • Ability to prioritize constantly changing requirements and activities, coordinate varying and complex daily activities, well capable of multitasking.

  • Proven ability to work well with diverse personalities in a team, and function well under pressure.

  • Proficient in written and oral communication in English, German is preferred.
