Executive Assistant & Office Manager (Sommet Education)

As an Executive Assistant & Office Manager at 100%, your assignments will include the following tasks:



  • Manage the day-to-day operations of the Executive Office 

  • Ensure accurate and complex diary management

  • Make travel and guest arrangements

  • Manage expense reports for Management

  • Prepare agendas and arrange Executive Management meetings and events

  • Organize and maintain files and records

  • Prepare and/or edit correspondence, reports and presentations

  • Update and create documents and processes

  • Benchmark for various study sectors/programs

  • Back-up for CEO Executive Assistant

  • Train & Supervise the receptionist

  • Manage office space and supplies (space allocation, office moves, parking)

  • Address maintenance tasks and liaise with building owners


 


Desired Skills and Experience



  • « Maturité commerciale » or « Brevet d’assistant(e) de direction »

  • Minimum 5 years’ experience in a similar role, preferably in an international environment

  • Knowledge of the higher education business a plus

  • Fluent in French and English (written and oral communication)

  • High command of IT systems, proficient in MS Office applications

  • Must demonstrate agility and flexibility

  • Excellent organizational skills and ability to multi-task

  • Ability to set priorities and to take initiatives

  • Excellent communication and interpersonal skills

  • Reliable and ability to manage confidential and sensitive information


Location:Clarens/Montreux (VD)


Type of contract:Limited duration contract due a maternity leave
