The Inter-Community School Zurich (ICS) is one of the preeminent international schools in Switzerland located in a purpose-built campus in beautiful Zumikon. ICS is an independent, co-educational day school and operates as a non-profit Foundation governed by a Board of Trustees. As the only School in Zurich fully authorized by the International Baccalaureate to offer the International Baccalaureate Primary Years, Middle Years and IB Diploma Programmes, ICS currently has an enrolment of 840 + students, age 3-18, representing 48 countries. Instruction is conducted in English and students also learn German.

The Central Procurement Coordinator is responsible for ordering & buying the best quality equipment, goods and services for the school at the most competitive prices. He/she liaises with suppliers and internal customers.

Responsibilities


  • Conducting research to ascertain the best products and suppliers in terms of best value (price comparison/regular checks on existing contracts), delivery schedules and quality; requesting different quotations for projects & products above a certain level.

  • Coordinating & liaising between suppliers, manufacturers, relevant internal departments and customers. Identifying potential new suppliers, visiting existing suppliers including building and maintaining good relationships with them.

  • Ordering of equipment, negotiating and agreeing on contracts and monitoring their progress, checking the quality of service provided.

  • Processing payments via credit card and reviewing invoices; ensure smooth payment processing with accounting; assisting with fixed assets inventory.

  • Keeping contract & invoice files and using them for future reference. 

  • Co-developing the school’s purchasing strategy.

  • Implementing and streamlining the purchasing process, by making use of the ERP system (SAGE).

  • Producing purchasing reports and statistics.

  • Co-responsible for the warehouse management concerning storage of products & inventory. Master Data maintenance of facility and asset control system.

  • Enhancing the purchasing department.


Requirements


  • Education and background in purchasing and administration.

  • Facility and Asset control experience.

  • Excellent IT skills.

  • Excellent negotiation skills, good communicator with a can-do approach.

  • Pays particular attention to detail with strong organisational skills.

  • Excellent verbal and written communication skills in English (German is beneficial).
