Employee Experience Manager (EPFL Extension School / 80-100%)


Your mission :

We are looking for a motivated, creative, people-oriented individual to join the EPFL Extension School as an
Employee Experience Manager. This role is a human resources role in a very large sense, focusing on all the elements that need to be in place and aligned to create a great work environment and a happy team. Our team is growing rapidly and the Employee Experience Manager will be a key part of the team leading that growth. We are part of the EPFL but we are also essentially a start-up, and our efforts must reflect a consistently agile, iterative approach. This is an
extremely hands-on role.
Main duties and responsibilities include :



  • Hire: Define our needs with the relevant team members; write job descriptions, set screening questions, review candidates with the team; set up interviews; finalize position descriptions and cahiers de charge. For contractors, write contracts and scope of work statements.

  • Onboard: Get new team members in place with e-mail, access to all the relevant tools and resources and accounts; set them up in office space; equip them with laptops and relevant accessories; ensure they understand how we use our communications tools (Slack, e-mail, GitHub etc.); familiarize them with all the relevant information concerning vacations, sick leave, travel, expenses and other policies, etc.

  • Develop: What do we need to put in place for our team members to take on additional or different responsibilities? What learning/training might be relevant? What do we need to develop ourselves versus what can we find in the training market? How do we ensure that our team’s abilities keep up without the team’s growth? How do we develop career paths as we grow?

  • Track: Manage absences, vacations, employee expenses, travel, conference/workshop participation, etc.

  • Support: How are our team members doing? Do they understand their jobs and how their performance will be assessed? Do they understand our bigger picture goals and objectives and the part that they play in getting there? Are they happy?!? Do they have the support they need? Where do they need help?

  • Reach Out: What do HR/Learning and Development teams want to have their employees learn? How do they assess outcomes? What are their budgets? Are there people, channels or targets that our marketing team need to know about to help our overall marketing efforts?

  • Manage Facilities: Build out our office space in Lausanne and Geneva to support our growth.

  • Represent: Act as one of the public-facing representatives of EPFL Extension School (conferences, events, etc.).


Your profile :



  • Previous experience in an HR role in Switzerland, preferably Swiss Romande

  • Fluent in written and spoken French; professional-level English (English is our working language)

  • Previous experience managing and tracking budget/finances

  • Extremely detail-oriented with strong critical thinking skills

  • Self-starter, capable of autonomous work and taking personal initiative

  • Strong organisational skills

  • Excellent interpersonal, communications, relationship management and general « people » skills

  • Strong team player

  • A curious mind-set: you like to ask questions and to learn

  • Previous administrative management experience a plus (facilities, processes, contract management etc.)

  • Previous project management experience a plus

  • Knowledge of the Swiss employment market and the global online education/e-learning market a plus

  • Start-up experience a big plus

  • Background in/interest in digital skills a plus
