The Legal Operations team is currently hiring in Basel HQ. As a Contract Lifecycle Management Operation Manager you will :



  • Drive the successful implementation and delivery of the agreed CLM Strategy.

  • To achieve this through detailed and disciplined activity planning, resource allocation across internal & external teams, task definition and progress tracking.

  • Ensure operational delivery and process compliance and secure contract process related KPI setting, tracking and reporting

  • Lead user adoption, drive adoption of processes and secure continuous improvement


Your missions :
1.Activity Planning
Building work-streams to deliver agreed strategic CLM  priorities
Create, track and monitor plans to achieve work-stream delivery
Assess impact of task delay or deviation from plan and escalate as required


 


2.Team Management
Scheduling and prioritizing work-stream tasks across the CLM team resources (core team and wider Syngenta resources)
Preparing work packages for Content Governance Council for review and approval
Manage and facilitate weekly team meeting cadence including activities planning and solution design meetings
Work closely with CLM Manager to support his relationship with senior Syngenta stakeholders through providing accurate and timely activity information and attending meetings as required
To be a flexible and agile CLM team member who can work across Workstream to support peaks in activity to hit delivery targets


 


3.Vendor Management  (2 Mio CHF per year))
Responsibility for executing a best practice vendor management framework that can be applied across wider Legal Ops Partner organizations
Exari 
-  Manage the Software License and services agreements against agreed KPIs
Integreon 
-  Manage the relationship with Global Project Manager to track service delivery and identify opportunities for further services / new technology / continuous improvement
Invoice reconciliation against operational / service performance
Manage the governance structure (weekly, monthly, quarterly meeting cadence)


 


4.Change & Engagement (C&E)
Create the CLM C&E framework and monitor execution on a monthly cycle
Co-ordinate required input and resource from across the CLM team and wider stakeholders


 


5.Metrics and measurement
Review and analyze agreed KPI’s to drive performance and identify required remedial actions (across internal and external teams)


 


6.Change Management Framework
Monitor adherence and delivery against agreed quarterly change management cycle
Track allocation and prioritization of change tracker items across Document Analyst and Power Author team members


 


7.Documentation Management
Maintain complete and accurate documentation on O:/ folders
CLM Team Content
Platform & Support Content
Leadership Team Content
Manage and track the regular and accurate update of CLM resources on Legal & You SharePoint (Including template Playbooks)

 

Qualifications

 

An effective CLM Operations Manager will ideally have a mix of the following traits:



  • Highly disciplined approach to managing multiple activities across a wide pool of internal and external resources (flexible use of supporting tools i.e. Microsoft Project)

  • Track record in cutting through complexity and detail to drive simplicity and focus on priorities

  • Proven communication skills and high levels of personal influence to get things done under pressure

  • Strong levels of numeracy and experience in budget management

  • Presentation – ability to present ideas and results to different stakeholders across the organisation

  • Is able to easily review input data and create actionable information

  • Ability to work with confidence across levels to bridge strategy and operational delivery

  • Agile and flexible to assess changing needs and resource requirements

  • Thinks logically and is good at problem solving.

  • Has an interest in systems and processes, and in thinking about how they can be changed and improved.

  • Bachelor’s degree and/or Master’s degree in business administration or related field

  • Fluent written and spoken English

  • Proven problem solving skills; strategic and analytical thinking
