The position exists to support the HQ HR Manager/Directors with the various administrative activities within the HR HQ department.


This is a temporary mission, effective April 01, 2019 for 1 year.


 


The successful candidate will be taking care of the following scope:


 


Recruitment of temporary positions :
Post open position towards agencies and/or other sources upon request
Pre-screen and select candidates with the line Manager
Organize and participate to interviews
Support the on boarding of selected candidate (salary proposal, onboarding documents follow up, etc.)
Follow up temporary life cycle with the external agency (salary, contract ,leaves, departure) and the line manager
Write work certificate ( includes collect manager(s) input and seach of employee history)


 


Recruitment support to HR Managers:
Post open positions
Organize interviews for HR Managers
Send to all candidates a confirmation note and the PI form
Initiate and manage all candidates expenses' reimbursement (Vendor Creation and expenses reports submission to Finance)
Support in the contract preparation and ad hoc documents ( various contracts, STA cost calculation, IA extension form, etc.)
Replace the HR Manager for interviews and/or recruitment when requested (from job posting to the contract edition)


 


Administrative tasks:
Establish work certificates
Manage PO/PR requests for HQ HR department
Review and coordinate visa letter signatures for the Geneva office (travel in and out)
Establish various attestations and salary increase letter upon request
Handle vacation approval reminders to line managers on a monthly basic
Update Finance org. charts on a monthly basis
Send negative replies to spontaneous applicants
Follow up of undelivered mail for Geneva office
Prepare welcome kits for Geneva HQ HR department


Post announcement for Geneva on intranet
 


Follow up on IPhone and various IT devices:
Maintain Excel tracking list of IT devices (for transfers out and departures)
Monthly meeting with IT department to track devices that need to be returned
Follow up of missing devices with RH Managers
 


Participate in various HR projects and others requests from HQ HR Managers and Directors.


 


Requirements:


 


Commercial or HR diploma


First experience within HR function in FMCG company


Experience in recruitment would be a plus


English & French fluency


Excellent MS office knowledge
