We are seeking an Executive Assistant for the Crowther Lab at ETH Zürich, to provide support for the lab and personal support to Thomas Crowther. The Crowther Lab is a unique research group comprised of 15 scientists, aiming to improve our collective understanding of the ecological processes that regulate the Earth’s climate. In addition, the group has 3 operational specialists (in strategy and communications), focused on improving societies efforts to mitigate climate change through the application of the group’s cutting-edge research.Executive Assistant (80-100%) This person will be responsible for the smooth running of the Crowther Lab. Specifically, the they will have primary responsibility for managing and supporting the day-to-day activities of the lab. This includes HR, finance, administration of research and communications projects. Essential functions include; (1) The ability to create / facilitate a positive and fun working environment within the group, as well as catering for the ongoing integration of all staff within the group. (2) Events planning and coordination – to facilitate and liaise with the group’s widening network of partners, funders, and scientists, in a manner that reflects positively on the organization. (3) Compose, modify and proofread correspondence, reports or presentations, as well as create meeting agendas and prepare special (template) departmental reports. (4) Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information. (4) Maintain daily calendar of meetings and events. Manage all mail and package shipping duties – incoming and outgoing (internal & external). (5) Manage general administrative activities such as arranging complex domestic and international travel and accommodations for Professor Crowther, preparing, processing and reviewing expense reports. (6) Involved in ongoing (monthly) budget management and quarterly reporting to the group’s funders.
In addition to the above, should the candidate have the requisite skills, there is the opportunity to get involved with the group’s many communications and outreach activities, including support for social media, regular newsletters or blogs, video production, and website development. We look for a highly-motivated candidate with a passion for climate change. The individual should demonstrate an ability to work with specialists, make them feel at ease in the working environment and help bring out their best. Excellent project management skills, a proactive nature, the ability to learn quickly, network and be resourceful in how we achieve our goals in this constantly changing environment will be important. The position comes with significant responsibility as well as significant freedom to be a critical part of a leading research group. Excellent oral and written skills in English is required. Swiss/German language skills are beneficial, but not essential. This position will align with Dr. Crowther's position as a Tenure Track Professor. The Executive Assistant will be employed on an annual contract, renewing on a yearly basis, with a view to making the position permanent in future.
