Mission


To ensure order processing and follow up of any request & delivery inquiries from Sales Regions and internal departments and to be able to ship everywhere Nagra products taking account internal requirements, customs regulations & shipping rules. He/she will report to Sales Execution Shipping Team leader.




Responsibilities


Operational core



  • Process, control and monitor all types of sales orders in Dynamics 0365

  • Coordinate and follow up sales and delivery inquiries between regions and headquarters, involving all relevant HQ departments

  • Create purchase orders for third party’s hardware and follow-up with Procurement department

  • Execute all types of shipments (export – import and crosstrade) required by Kudelski Group companies based in Cheseaux and issue all shipping documentation accordingly

  • Ensure contact with regional Sales Administration teams, Program managers & Sales managers to get necessary information for order processing, shipment & invoicing and inform them about shipping details and billings

  • Ensure contacts with forwarders, banks (letter of credits) chamber of commerce (ATA carnet, Certificate of Origins), State Secretariat for Economic Affairs (Dual use export licences), Swiss and abroad customs, etc.

  • Issue invoicing from Dynamics 0365 according to sales conditions and internal revenue recognition rules

  • Ensure a proactive follow up for larger/complex projects


 


Ad-hoc



  • Suggest improvements and simplifications in their own work as well as for the order management process; implement changes upon request

  • Coordinate transversal projects and day to day work with the different departments (IT, Finance, Services, Production, Planning, Regions, etc)

  • On the job training for new employees and regional Sales Administration teams

  • Assume help in pre-sales process providing major information about customs regulations, freight quotations or fiscal questions

  • Assume accounting & filing of all documents

  • Ensure data general accuracy for KPI reporting




Requirements / Profile



  • Minimum 3 years’ experience in international environment and in Export department executing all types of shipments (air & truck) for an international company

  • Federal capacity certificate (CFC) in commercial branch

  • Mastering Excel & Word

  • Knowledge of an ERP (Microsoft 0365, AX2012 or NAV ideally) is an asset

  • Fluent in English & French

  • Ability to issue export/customs documents

  • Good knowledge & experience of customs regulations including Swiss & European VAT processes

  • Strong resistance to pressure

  • Evidence & capacity for a team work

  • Able to deal with priorities and multitasking
