Office Manager


Your main responsibilities


Reception



  • Greet, welcome, direct and announce clients and guests with the highest level of politeness and professionalism, by phone and at the reception

  • Embody best-in-class customer service

  • Help arrange travels and meetings for guests and clients where necessary

  • Receive and distribute incoming mail, take care of postal and courier consignments


Office Management



  • Help create and maintain a pleasant work environment ensuring high levels of organisational effectiveness, communication and safety

  • Ensure the reception area, meeting rooms, kitchen and offices are clean and organised at all times, make record of any poor levels of cleanliness or any maintenance issues and coordinate with vendors and employees to ensure necessary action is in place

  • Serve as single point of contact for vendors and employees in all office management areas incl. maintenance, cleaning, security, mailing, office and kitchen supplies

  • Manage petty cash, allocate and keep track of budget, ensure all items are invoiced and paid on time, own inventory, negotiate and manage contracts with vendors

  • Maintain appropriate calendars in regards to meeting rooms and office events

  • Constantly identify areas of improvements across the office and proactively make timely and cost-conscious recommendations

  • Archive and manage files related to office management

  • Organise badges for employees and assist in the onboarding process of new hires


Marketing & Communication, Business Development



  • Assist with coordination and organisation of internal and external events

  • Help prepare business development presentations, offers and other material

  • Help prepare employer branding presentations and events, including if possible using social media channels


Your profile



  • Federal Diploma in Business Administration (KV) or equivalent job experience

  • Several years of experience in a similar role including Front Office Management, ideally within the professional services sector

  • Previous experience in the hospitality industry a plus; if not, deep knowledge of customer service etiquette and excellent presentation skills, even under pressure

  • Ability to manage several tasks and projects in parallel and ensure deadlines are respected or, if not, expectations are clearly set

  • High level of autonomy and proactivity, sense of initiative with curiosity and interest in identifying what can be done differently and better, attention to details

  • Agile personality at ease working in fast-pace environments and multicultural teams

  • Good IT and computer skills, ideally with experience and knowledge of social media

  • Native (Swiss) German and fluent English a must; French a plus
