ALTERSIS Performance is the leading IT Performance Consulting company in EMEA created out of the Swiss Performance Engineering pioneer, Sword Performance Solutions (former adhoc International) and the two performance testing entities of Altersis Group in France: Scopteam and Valid’IT.


We are over 70 IT Performance specialists and have more than 15 years of experience executing projects in Performance Engineering, New Generation Monitoring Architecture and Transformation, Application Performance Management, and Application Performance Audit & Optimisation.


We are part of the ALTERSIS Group and have offices in France, Switzerland and North Africa (Tunisia and Morocco).


We are delivering our consulting and engineering services to the leading financial organisations and large public administrations in Switzerland. The basel office is the headquarters of our operations in Switzerland, Tunisia and Morocco with about 40 employees.


Role Overview:


As SeniorBusiness Unit Administrator your objective is to coordinate and assure the back-office and the business operations activities of the company. This role has a core, cross-functional responsibility ensuring that our company runs smoothly, playing a key part in the strategic growth and expansion of our successful business. You will report directly to our Business Unit Director and collaborate closely with our Business Unit Assistant, Managing Contultants and Team Leads.


Responsibilities:


Human Resources



  • Keep up-to-date staff information: electronically and physicall

  • Assist in monthly and quarterly tasks as needed (social insurances, etc.)

  • Provide administrative support to the local team members, such as new hire onboarding, onboarding of our resources to customer projects, ordering IT equipment, etc.

  • Coordinate the application for permits of international, new employees


Project Management Office



  • Help ensuring the on-time and correct filling of consultants’ time sheets on weekly and monthly basis

  • Help creating reports for project control (budget, costs, margin, etc.)


Finance Operations



  • Coordinate end-of-month information readiness for invoicing, review with managers/others

  • Coordinate/help financial analytics

  • Coordinate/help accounting workflow


Administration



  • Office Management & Front desk

  • Meeting & Event Management

  • Travel & Calendar Management

  • Ensure the overall office space is in a professional state and manage all professional services required to ensure the correct appearance

  • Manage administrative processes such as expenses, travel & accommodation, office supply and reception

  • Answer the general phone when in the office

  • Assure the professional communication towards employees, partners, customers, suppliers and public administration


Recruiting support



  • Support (screening CVs) the Recruiting Manager in sourcing CVs from internal and external recruiting channels and in coordinating meetings and hiring process


Requirements:



  • Formal education/certification in Business Administration with a flair for figures

  • Proven office management, administrative or assistant experience

  • Familiarity with business and financial principles and practices

  • Ability to multi-task, prioritize and manage time efficiently

  • Open and proactive personality – willingness to engage with people both internally and externally

  • Excellent verbal and written communications skills in English, German and French

  • Discretion and confidentiality

  • Knowledge in MS-Office and other collaboration tools (e.g. Google Apps, Confluence & JIRA)

  • Team player & coaching skills
