• General administrative support: organize internal/external local and global meetings, complex calendar management, travel booking and expense management. Regular administrative duties such as manage invoices, e-filing, meeting agendas/minutes/technology.

Organize interviews in close collaboration with candidates and Novartis Staffing. On- and off-board new hires, which includes arranging welcome packages and introduction meetings, ordering office/IT equipment.

Interaction: Informs, advises and supports the team and associates from outside the team on processes, guidelines and services that are specific to the department.

• Co-chair monthly Basel OPM team meetings: identify team and business needs and accordingly select guest speakers to foster interaction and potential collaboration. Organize cross-functional Scientific forum with participants from NIBR, CTMR, OCD, ClinPharm and maintaining the share point up to date with agenda and presentations.

• Interaction: Informs, advises and supports the team and associates from outside the team on processes, guidelines and services that are specific to the department.

• Maintain databases up to date with regard to research contracts milestones, outstanding and paid invoices. Interaction with multiple and various stakeholders such as outsourcing managers, legal, finance, NIBR to integrate recommendation and move processes forward.

• Coordinate material transfer agreement (MTA) and approval process as well as operate on database and own the maintenance of the MTA section.

• Ad-hoc project work: on/off-site cross-functional meetings, forum, workshops and events including stakeholders’ management outside the team to ensure funding, negotiation with vendors for best prices, developing and driving agendas and presentations.

• Plan, organize, implement and coordinate all administrative tasks related to the development of scientific collaborations/translational hubs. Own the establishment of contracts and oversee legal aspects of the research collaborations.Minimum requirements• Commercial training (e.g. Swiss Association of Commercial Employees, business school) or equivalent (e.g. other vocational qualification, must have very good administrative skills/experience)

• Good written and spoken English

• Knowledge of other languages advantageous
