PROJECT SPECIALIST, FINANCE & ADMINISTRATION

Why we are hiring Comprised of three communities (Global Shapers, Young Global Leaders, Schwab Foundation for Social Entrepreneurship), the Foundations Team engages the next generations of leaders, innovators, and change-makers around the world.  The Foundations Team is hiring for a Project Specialist to provide constituent core services. As part of the Partners & Digital Engagement team, the candidate will play a key support in developing standard procedures across the Foundations for finance-related activities. 
Reporting lines & interactions The Project Specialist will report to Jill Rademacher, Head of Partners & Digital Engagement. Internally, this person will work with colleagues in the Finance, Compliance, Digital Transformation and Digital Solutions and Analytics teams supporting the invoicing, reimbursement and grant management for activities related to the three Foundations. 
Main responsibilities 

  • Develop and manage procedures across the Forum Foundations for finance-related activities, including:

    • Quote 2 Cash process management

    • Issuing of invoices

    • Managing unpaid invoices

    • Reimbursements for incurred costs

    • Implementation of Apptus finance system

    • Accounting of financial reimbursement to community members

    • Manage financial reporting for partner grant funds

    • Seeking outsourced solutions to financial needs

    • Creating and maintaining membership records


  • Constituent support on reimbursements: Provide support to constituents on reimbursement of expenses related to Young Global Leaders, Global Shapers and Schwab Foundation activities 

  • Grant reporting: Provide detailed grant reporting for expenditures linked to Foundation grant activities

  • Process management: manage and streamline invoicing processes, systems and tools based on needs and recommend improvements on a continuous basis 

  • Vet and manage outsourced financial solutions: Seek outsourced solutions to finance processes and subsequently manage relationships with providers

  • Coding and profile updates: Create and maintain membership records, and lead information management for changes to member accounts, especially those pertaining to financial aspects 


The successful candidate will be assessed on



  •  Delivery of agreed targets namely minimum open invoices amongst YGL members, the timely reimbursement of constituent expenses and the streamlining of finance-related processes

  • Ability to develop and implement process improvements for reimbursement of constituent expenses

  • Feedback from team members on coordination and support for communication to constituents on financial matters 


Preferred requirements and experience



  • Bachelor's degree (or equivalent) in business administration, accounting, or a similar field, and 2-3 years of relevant professional experience

  • Robust analytical and organizational skills and attention to detail

  • Strong track record in project management and process implementation, with relevant IT involvement; knowledge of Salesforce or other CRMs would be a plus

  • Open to creative approaches to problem-solving and able to synthesize a large amount of information

  • Able to use your initiative, work independently and influence all stakeholders and leaders

  • Fluency in English, with excellent written, digital and verbal communication skills

  • Team spirit, flexible and committed to the collective output of a team project
