We are looking for


A Receptionist who will provide professional reception services to visitors, take charge of all incoming phone calls and redirect them to the appropriate person and actively support the Finance & Administration team.


The position involves contacts with clients & visitors, colleagues based in regional offices, senior management and Board members and with external portfolio managers/investment firms.


The position is based in our Head office in Geneva, with reporting line to the Head of Finance & Administration.


Schedule of work


Wednesday from 11:30 to 17:30


Job Description



  • Provide office and reception support services in order to ensure efficiency and effectiveness

    • Greet, assist and/or direct the external clients & visitors to the appropriate staff member or conference rooms

    • Receive, direct and relay telephone messages

    • Manage the outgoing mail (incl. express mail and packages)


  • Provide conference rooms management

    • Manage the preparation/rearrangement of the rooms before and after each meetings, conferences or conference calls.

    • Move furniture according to staff needs and organize adequate support when necessary

    • Ensure adequate supplies of drinks for the conference rooms


  • Assist the Head of Finance & Administration and unit staff members as requested.


Requirements


Skills/qualifications/experience


We are looking for a dynamic person who is service oriented, autonomous, and able to work in a dynamic and challenging environment. More specifically, we have the following requirements:



  • Strong service attitude and experience in a similar position

  • Excellent sense of communication and organization

  • Good presentation and easy contact with unknown people

  • Fluent written and spoken English and French, Spanish or other languages an asset

  • Swiss/EU National or valid Swiss Work Permit


This person must be willing to rearrange furniture and do some light lifting.
