Mission


 



  • Ensure the coordination and organisation of visits to the Olympic Studies Centre (OSC) so that the services and resources offered match the requests and needs of the clients.

  • Help to make available and manage the collections and resources within the OSC.

  • Coordinate the follow-up of tasks and complaints with the supplier of our collections management system.


 


Main responsibilities


 



  • Serve as the main point of contact for visitors/researchers from outside the OSC:

    • Organise visits: analyse the requests from researchers/visitors beforehand, anticipate their needs in order to maximise their access to sources and information remotely, and to optimise the quality of their visit.

    • Coordinate with the OSC experts the provision of the relevant resources for visitors and researchers, remotely and at the OSC.

    • Manage and coordinate visits to the OSC for academic groups and researchers.

    • Present the OSC and its resources to academic groups.

    • Manage and coordinate IOC headquarters visits and timetables for academic groups.

    • Organise and take part in the orientation sessions for researchers.

    • Ensure that all requests and correspondence are recorded in the Caleo system (OSC TT).

    • Constantly help to develop the services offered to groups and researchers.



 



  • Take part in the collections management operations and work with the section’s client services

    • Catalogue and index new publications in the Syracuse system.

    • Take part in the collections filing, cataloguing and storage operations.

    • Welcome clients direct them to the relevant resources and help them with their searches using the tools available.

    • Conduct loan operations.

    • Supervise registrations and manage loan reminders to users.

    • Supervise the management of the inter-library loans service and the service for searching for and ordering scientific articles.

    • Constantly ensure the availability and accessibility of the tools offered to researchers outside the OSC.

    • Ensure a high level of quality and relevance for the answers and services offered for all information or loan requests.



 



  • Be the main point of contact for managing the ticketing of the incidents/breakdowns/errors of our Syracuse collections management tool.


 



  • In the framework of the grant programmes, help to evaluate the applications under the responsibility of the External Relations and Academic Programmes Section.


 



  • Provide material for the OSC’s communications activities (bulletins, etc.) in close collaboration with the External Relations and Academic Programmes Section.


 



  • Help to promote and make available all the OSC’s patrimonial collections and other resources with OSC clients (those at the OSC and elsewhere)

    • Constantly develop the availability and accessibility of the tools offered to researchers outside the OSC.

    • Promote the collections thanks to good spoken and written communication, and by having an attractive and well maintained environment.

    • Help with assessing candidatures in the framework of the grant programmes, under the responsibility of the External Relations and Academic Programmes Section.



 


Profile and skills


 



  • HES/Bachelor’s degree with a specialisation in information and documentation, or equivalent

  • Three-to-five years’ experience in a library or specialised services centre, preferably in a similar international environment

  • Good knowledge of cataloguing/indexing and everyday work within an institution

  • Excellent command of English and French. Knowledge of other languages (German and Spanish) would be much appreciated

  • Excellent command of office software such as Word, Excel and PowerPoint

  • Good knowledge of IT and information technology tools, and document databases
